Undertone is seeking a Marketing Freelance Events Coordinator to join our team in New York from May 1 – August 29, 2019. This collaborative, organized and creative member of our team will participate in the planning and execution of professional events, sponsorships, and programs intended to make Undertone stand apart in the digital marketing industry. This role collaborates with the Marketing and Experiential team across the organization to support the conceptualization, planning, and execution of successful events with exceptional attention to detail in an ever-evolving environment.

The ideal candidate will have experience in event planning and management with excellent project management skills in order to deliver event activations on time and within budget. The Marketing Experiential Coordinator will support the Brand Marketing team to deliver major tent pole events as well as smaller-scale event activations with the highest level of experiential excellence and consistency. The ideal candidate will also have proven negotiation, problem-solving and organization skills as well as strong written and verbal communication skills.

Job Responsibilities

  • Support Marketing experiential team, reporting to the Experiential Manager to plan and execute major tent pole events as well as smaller-scale event activations including national and region-specific sponsorships, as well as internal and client-facing entertainment events across the U.S.
  • Assist with conducting the necessary research for event activations (e.g. venue and vendor scouting)
  • Participate in creating and maintaining necessary planning documents (e.g. timelines, budgets, and activation briefs)
  • Assist with maintaining necessary budget documents as well as support monitoring and processing expenses
  • On-site execution from packing, shipping pre-event to set up and break down at venue post event as needed
  • Assist with event production logistics including ordering of supplies and coordinating packaging and shipment of supplies
  • Utilize Undertone event planning tools and follow the process while participating in event planning to ensure all event activations are delivered on time and within budget
  • Ensure Undertone events are activated with consistency and meet brand and event guidelines to maximize experiential excellence
  • Monitor and update the Brand Marketing calendar
  • Lead specific small-scale region activations (e.g. Own The Lobby) and projects (managing office specific promo inventory) as defined by Experiential Manager
  • Participate in planning and implementation of additional event projects (e.g. development of event guidelines, managing region promo inventory, etc.)
  • Support larger Brand Marketing initiatives like the newsletter and social by communicating the guidelines and providing content from activations.

Profile and Experience

  • A minimum of 1-3 years of experience in the event planning, event management and marketing space required
  • A minimum of a Bachelor’s degree required
  • Superior project management and organization skills
  • Proven negotiation, problem solving and organization skills
  • Strong written and verbal communication skills
  • Willing and able to travel as needed
  • Background in experiential marketing a plus
  • Understanding of trade shows and events related to the advertising space including CES, Cannes, ANA, 4As, IAB a plus
  • Understanding of the digital marketing landscape a plus
