POSITION OVERVIEW

The Festival Panels Producer is charged with producing Institute-wide panels, in-person or online, for the Sundance Film Festival, including managing the planning, implementation, and possible onsite production. Working closely under the direction of a Programmer, the Festival Panels Producer works closely with other members of the Programming Department to develop panel topics and participant lists. This temporary position works full time from Wednesday, September 6, 2023 through Friday, February 9, 2024 and will be required to work extended hours, including evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position is based out of our Los Angeles, CA office location in order to work onsite in a hybrid capacity throughout its employment. This position may also travel to Park City, UT office at times throughout the year for onsite work.

Top priorities include but are not limited to…

  • Working closely with Advancement and other departments to help facilitate panel discussion ideas and partner activation ideas with Programming.
  • Working closely with other members of the Programming Department to develop panel topics and participant lists.
  • Developing tools and resources to coordinate all panel activities and talent requests across Institute programs (Programming, Artist Program Groups (APGs), Advancement, Collab, etc.)
  • Preparing panelists and moderators prior to events with calls and event run-throughs.
  • Managing scheduling, sending invitations, arranging honoraria/stipends, and providing ongoing and accurate correspondence to all panelists.
  • Working closely with the Festival Operations team to provide onsite and, if applicable, online management for panels, including handling panelists and entourage, collecting releases, stage management, and online coordination of events.
  • Liaising with Artist Relations to gather materials from panelists, including bios, film clips, entourage lists, and tent cards, and delivering appropriate materials for the Festival Program Guide, publications, and website.
  • Planning event logistics working with multiple internal departments and appropriate content teams to ensure smooth productions.
  • Liaising with Marketing and Communications to facilitate panel content dissemination across channels and panelist amplification of events.
  • Scheduling ongoing meetings to outline panel details with the Technical Exhibition Department to ensure high-quality, professional presentations.
  • Working with Accessibility staff to ensure consistent ASL interpretation and other accessibility needs across all panel discussions.
  • Working with Programming, Operations, and Venue staff to correspond with panelists and coordinate the setup of tables, chairs, AV, tent cards, green room, tech, and resolve stage management issues.
  • Writing and mailing thank-yous to panelists.
  • Completing a comprehensive written wrap report.

You have the following direct or transferable skill sets:

  • Legal authorization to work in the United States.
  • 5 years experience producing events.
  • Leadership skills with a background that includes managing people.
  • Outstanding written, verbal, and interpersonal communication skills to work effectively with a variety of people.
  • Excellent organizational skills, including self-management of work schedule.
  • Working knowledge of video conferencing best practices.
  • Ability to maintain confidential information.
  • Ability to lift and carry items up to 50 lbs.
  • Writing and proofreading skills, a working knowledge of databases, and proficiency in Google Products preferred.
