  • 6 month contract with the possibility of extension
  • $20-$25/hr. DOE
  • This will be HYBRID – 3-4 days per week onsite in New York, NY.

Job Description

The Coordinator A&R is responsible for providing support to the CREATIVE DEPT RESEARCH team and act as a talent scout for musicians and producers. You will work to find new artists who have the potential to be successful in their genres.

What you’ll do:

  • Photo research requests from Visual A&R team:
  • Find who owns the IP for photos the team is interested in using
  • Assist finding photoshoots from a specific span of time
  • Archive photo research
  • Reach out to stock agencies, photographers, photographer estates, etc
  • Contract Research:
  • Search in CARMA database to see what rights we have with certain shoots
  • Photo Licensing:
  • Negotiate usage rights and fees
  • Write photo licensing agreements
  • Send agreements for execution
  • Vendor Relations:
  • Manage communication between photographers, photo stock houses, artists estates, our team.
  • Submit Vendor Requests
  • Checking vendor status
  • Collect and review vendors financial paperwork and Independent Contractor Questionnaires
  • Registering vendors
  • Processing payment
  • Filing/database organization FileMaker, PRS, Wire transfers
  • Finance:
  • Manage expense reports for VP Design Director and A&R Specialist
  • Create and request budget for design and visual A&R
  • Create purchase order numbers
  • Submit vendor invoices
  • Manage monthly billing for us: collect funds, create PO#s, and submit invoices for our Companies work (30 + invoices a month)
  • Liaison with UK office to create PO #S for UK recharges
  • Collect and submit payroll for freelance artists and submit monthly accrual info
  • Administrative Tasks:
  • Manage mailing for VP Design Director
  • Schedule flights and lodging for business trips
  • Schedule meetings and conference calls
  • Work Specific to the Audio & Visual A&R Departments:
  • Receive and distribute visual A&R Asana Requests
  • Handle pre-release E-Cards/Audio Requests
  • Organizing Digital Production/Physical Production Notes for A&R department
  • Gratis Requests
  • Organize Friday Visual A&R Wrap-ups and Source Approval Wrap-ups
  • Handle Source Orders
  • Product Room:
  • Keep Product Room organized alphabetically and have always have an up-to-date inventory list
  • non-Company new releases gratis order
  • Handling source order expense reports
  • Helping our long-form video department with various video requests
  • Test pressing organization/discard pile once something is released
  • Updating A&R cheat sheet
  • Updating A&R AOMA (qc notes unlocked)

Who you are:

  • The ideal candidate holds a Bachelor’s Degree and a minimum of 1-2 years of prior Administrative/Coordinator experience in the field of A&R or a related field.
  • Strong computer skills including MS Office (Word, Excel & Outlook, Mediabase, BDS, Soundscan, and MPS/PRS) and an intimate knowledge of the internet.
  • Must have a passion for music.
  • A proactive, flexible, self-starter who has strong problem solving, social, writing and interpersonal skills.
  • Exceptional communication and time management skills.
  • Must be able to work independently but be a team player and flexible in a fast-paced environment.
  • The ability to manage time and priorities, set and achieve goals and juggle multiple projects/deadlines simultaneously.
  • This individual must be extremely organized; must demonstrate the qualities of being a team player; and must be able to create and maintain very strong relationships with co-workers, artists, managers, attorneys, etc.
  • The use of discretion and the maintenance of high levels of confidentiality are also required.
